Online Administrative Assistant
Work hours: Flexible and variable to about 2-3 hours a day (or about 15 hours a week)
Compensation: R5k -R7k per month with opportunity to increase over time.
Knowledge of basic property management in your favour. Ideally need to be Cape Town based and have own transport (sometimes site visits are needed)
A businessman and property investor looking for an administrative istant to manage a young professional, student accommodation and short-term letting portfolio.
- Assisting and overseeing building manager with their daily tasks.
- Assisting with tenant onboarding process.
- Messaging tenant applicants and short-term letting guests on an ad hoc basis outside of the automated messaging.
- Tracking lease renewals
- Responding to tenants regarding repairs and maintenance and coordinating repair people to those units (all done online)
- Although hours are flexible, the ability to respond to a situation is the key (ie a new tenant or guest can't check in for some reason and they reach out to you). So having your phone/internet nearby and your ability to respond to an unpredictable situation is essential.
- Ideally need to be Cape Town based and must have own transport (sometimes a site visit is needed)
Required personality traits: Methodical, Attention to detail essential, Customer service oriented, highly organised.
Ability to follow current systems and tweak and strengthen them over time is very important. Your job is to make sure systems are up and running and to handle scenarios outside of that.
Some scenarios that you would find in this role:
- A new tenant applicant or guest hasn’t read the application or check in process and messages asking how to do it and you would need to just resend them the instructions right away (so quick access to your phone/ computer important)
- A potential tenant applicant or or short- term letting guest asks a certain question about the listing, and we need to respond within the hour, as to answer their question.
- The calendar reminds you that a lease for a tenant is coming to an end, so we reach out to the tenant to follow the re-needing lease process.
- A tenant or our building manager informs you the toilet is leaking. You would need to get pictures and all relevant information and send to plumber for it to be fixed.
- A tenant or guest leaves check out of property, and the cleaners or building manager go in to clean. They are required to send you a cleaning list when complete. You ensure it is done correctly.
- We need to replace cushions in an airbnb. The cleaner take picture of what they look like, and you find alternate ones online and organise for them to be delivered/ collected.
- An Airbnb guest asks if they can have an early checkin. You manage the communication between cleaner and the guest to see if this is possible,.
Nearly all of the above situations have certain procedures and systems in place which just require you to implement them, or check they have been done. Yet the key is to manage the situations where on the spot decisions are required. As these situations are spontaneous (ie can happen at any given time), your ability to handle them very quickly is essential here.)
You can run with this job from any location (but mostly during South African business hour)
Most contact hours would be between 8:00 and 16:00 (and then sometimes emergencies happen in unpredictable hours)
